Wedding Planner vs Venue Coordinator vs On-the-Day Coordinator: What’s the Difference?

September 13, 2026 / by Sarah Smith / Leave a Comment

Wedding planner, venue coordinator, on-the-day coordinator… aren’t they all basically the same thing?

Not quite.

When you start wedding planning in Perth, you’ll probably come across all three. While there can be some overlap, each plays a very different role in bringing your wedding together.

Here’s what each one actually does and how to work out what support you need.

What does a wedding planner do?

A wedding planner is involved in the bigger picture of your wedding, often working with you from the early planning stages right through to the day itself.

Depending on the service, they can help with things like:

  • Finding and managing suppliers
  • Budget planning
  • Wedding styling and design
  • Floor plans and logistics
  • Timelines and run sheets
  • Supplier communication
  • Ceremony and reception planning
  • Managing the wedding day

Essentially, your wedding planner looks at your celebration as a whole and helps bring all the moving pieces together.

For couples who don’t have the time to manage everything themselves, or simply want expert guidance along the way, a planner can take a huge amount off your plate.

What does a venue coordinator do?

A venue coordinator works for your wedding venue, which means their main responsibility is everything relating to the venue itself.

They may help with your venue booking, food and beverage, room set-up, venue access and making sure the venue’s team is ready for your wedding.

They’re an incredibly important part of the day, but they generally aren’t there to manage every external supplier or oversee your entire wedding.

Think of it this way: your venue coordinator looks after the venue, while your wedding planner looks after your wedding.

What does an on-the-day wedding coordinator do?

Already happy to do the planning yourself but don’t want to be the person managing everything on your wedding day?

That’s where a wedding coordinator comes in.

An on-the-day coordinator usually steps in closer to the wedding to understand everything you’ve planned, confirm the details and then take over the logistics on the day.

They can coordinate supplier arrivals, oversee set-up, keep everything running to schedule and handle any little issues that pop up behind the scenes.

It means you, your partner and your family aren’t answering supplier calls or checking the run sheet when you should be celebrating.

So, which one do you need?

It really comes down to how much of the planning you want to take on yourself.

If you want support from the beginning and someone to help manage the whole process, wedding planning may be the right fit.

If you’re comfortable organising everything yourself but want someone to take over closer to the day, wedding coordination could be all you need.

And if your venue provides a coordinator, make sure you understand exactly what’s included. Having a venue coordinator doesn’t necessarily mean you have someone managing your entire wedding day.
